This policy explains how Sims Langford Events handles personal information collected through simsevent.com and during event planning engagements.

01Information we collect

When you contact us we collect the details you provide: name, email address, phone number, event type, preferred date, guest numbers and anything you include in your message.

During an engagement we may also hold billing details, venue and supplier correspondence, guest lists you share with us, and dietary or accessibility requirements needed to run the event.

02How we use it

We use personal information to respond to enquiries, prepare proposals, plan and deliver events, coordinate with suppliers, issue invoices, and keep the records required for accounting and legal purposes.

03Legal basis

We process information because it is necessary to prepare or perform a contract with you, to comply with legal obligations such as tax record-keeping, or because you have given consent — for example, to publish an event photograph.

04Sharing with suppliers

We share only what a supplier needs to do their job: a venue may receive final guest numbers, a caterer may receive dietary requirements, an AV crew may receive a run-of-show. We do not sell personal information or share it for advertising purposes.

05Payment information

Card payments are processed by regulated third-party payment providers. We do not store full card numbers on our systems. We retain invoices and payment records as required for accounting.

06Website and cookies

This website is a static informational site. It does not require an account, and the enquiry form is presentational only — it does not transmit or store submissions. Any strictly necessary cookies set by our hosting provider are used to serve the site securely, not to profile visitors.

07Retention

Enquiry correspondence is kept for up to 24 months unless it becomes a booking. Event and financial records are kept for the period required by applicable tax and accounting rules, then deleted or anonymised.

08Security

Access to client files is limited to the team working on your event. Files are held in access-controlled systems, and supplier correspondence is shared on a need-to-know basis.

09Your rights

You may request a copy of the personal information we hold about you, ask us to correct it, ask us to delete information we no longer need, or withdraw consent for photography use. Email Support@simsevent.com and we will respond within 30 days.

10Children

Our services are contracted with adults. Where an event involves children, any information provided about them is supplied by a parent, guardian or organiser and is used solely to plan and run that event safely.

11Changes to this policy

We may update this policy as our practices change. The date at the top of this page shows when it was last revised.
