Terms & Conditions

These terms apply to event planning, coordination and production services provided by Sims Langford Events, and to your use of simsevent.com.

01Agreement to these terms

By requesting a proposal, signing a service agreement or using this website, you agree to these terms. Where a signed service agreement covers a specific event, that agreement takes precedence over anything stated here if the two ever conflict.

02Services we provide

We provide event planning, coordination and production services as described in your written proposal. Services outside the agreed scope are quoted separately before any work begins.

We frequently engage third-party suppliers on your behalf — venues, caterers, florists, AV crews and performers. Those suppliers set their own terms, which we share with you before booking.

03Quotes, bookings and deposits

Quotes are valid for 30 days unless stated otherwise. A booking is confirmed when the service agreement is signed and the deposit is received. Until then, dates and supplier availability are not held.

Prices shown on this website are starting planning fees. Final pricing depends on scope, guest count, venue and date, and is set out in your proposal.

04Payments

Invoices are issued in US dollars and include an itemized breakdown of planning fees and third-party costs. Payment schedules are set out in your service agreement; the final balance is normally due before the event date.

We accept major credit and debit cards, bank transfer and ACH. We do not store full card details. Late payments may delay supplier bookings and can affect deliverability of the event.

05Changes to your event

Guest counts, timings and design details can usually be adjusted during planning. Changes affecting signed supplier contracts may incur costs set by those suppliers. We confirm any cost impact in writing and proceed only once you approve it.

06Cancellation

Cancellation terms, including which amounts are refundable, are set out in our Refund & Cancellation Policy and in your service agreement. Third-party supplier deposits are governed by those suppliers' own cancellation terms.

07Client responsibilities

You agree to provide accurate information, respond to planning decisions within agreed timeframes, and obtain any permissions required for a venue or location you have chosen directly.

You are responsible for the conduct of your guests and for any damage they cause to a venue or to hired equipment.

08Circumstances beyond our control

We are not liable for failures or delays caused by events beyond our reasonable control, including severe weather, venue closure, utility failure, public health restrictions or supplier insolvency. Where such an event occurs we will work with you to reschedule or re-plan wherever possible.

09Liability

Our liability in connection with an event is limited to the planning fees paid to us for that event. We are not liable for indirect or consequential losses, or for the acts and omissions of third-party suppliers engaged under their own contracts with you.

10Photography and content

We may request permission to photograph an event for our portfolio. We do not publish client names or identifiable images without written consent, and consent can be withdrawn at any time by contacting us.

11Website use

Content on simsevent.com, including text, imagery and branding, belongs to Sims Langford Events and may not be reproduced without permission. The website is provided for information only and does not constitute a binding offer of services.

12Governing law and updates

These terms are governed by the laws of the Commonwealth of Pennsylvania. We may update them from time to time; the version in force at the date of your service agreement applies to that engagement.
